How to use it

  1. Name what you compare (for example “Photographer”) and choose the currency of the quotes.
  2. Add your criteria, such as style or how quickly they reply, and give each a weight from 0 to 5.
  3. Add each vendor and type the base price from the quote. Add every extra fee (travel, overtime, album) and uncheck “Needed” for the ones you will not use.
  4. Add tax, service charge or gratuity as a percent or a fixed amount, and say whether the quote already includes tax.
  5. Note the deposit, what is included, the availability and the cancellation terms in your own words, then score each vendor.
  6. Read the side-by-side table, move vendors left or right to group them as you like, and download a CSV if you want it in a spreadsheet.

Worked example

Two made-up photographer quotes, in US dollars:

Studio North: 2,400 + 150 = 2,550. The album is not needed, so it is shown but not added, and the tax is already in the quote. Lumen Photo: 2,100 + 200 + 300 = 2,600, plus 8% of 2,600 = 208, so 2,808.

Your criteria are Style (weight 3) and Replies quickly (weight 1). Studio North scores 4 and 5: (3 × 4 + 1 × 5) ÷ 4 = 4.25, shown as 4.3 of 5, based on 2 of 2 criteria. Lumen Photo scores 5 for style and is not rated yet for replies: its score is 5.0 of 5, based on 1 of 2 criteria, and the page says the missing weight was left out. Neither vendor is marked as the winner; you decide whether $258 more is worth it.

Next step

Once you book, give each vendor their part of the day in the wedding day timeline. If the caterer also feeds the photographer or the band, add them as vendor meals in the guest workspace (Import & backup → Settings), so they appear on the caterer sheet without counting as guests.

Frequently asked questions

Why does a total show “—” instead of a number?
Because something it needs has no amount yet, for example a travel fee the photographer has not priced. A missing amount is never treated as 0, so the total stays empty and the line under it says what is missing. Type the amount, or uncheck “Needed” if that fee does not apply to you, and the total appears.
Is the deposit added to the total?
No. A deposit is the first part of the price, not a cost on top of it. It is shown next to the total so you can compare how much each vendor wants up front.
The quote already includes tax. How do I keep it from being counted twice?
Set “Does the quote already include tax?” to yes. Tax lines are then still shown with their amount, marked “already in the quote, not added”, and the total stays as quoted. If you leave the answer as “Not known”, tax is added and the comparison says so, so you can ask the vendor.
What is the difference between a service charge and a gratuity?
They are different lines on many quotes, and the editor keeps them separate: add each as its own extra with its own kind. A percent is worked out on the base price plus the needed fees. A tax can also be set to apply to the service charge, if the quote says so. The editor does not know local tax rules; type what the vendor tells you.
How is the weighted score worked out?
Each of your criteria has a weight from 0 to 5, and each vendor gets a score from 0 to 5 per criterion. The weighted score is the sum of weight × score divided by the sum of the weights. A criterion you have not rated for a vendor is left out for that vendor, and the line under the score says “based on 3 of 4 criteria” and names it. A missing score is never counted as 0.
Is my comparison saved?
Only if you check “Keep on this device”: then it is saved in this browser. Uncheck the box and the saved copy is removed. Download a backup now and then, because browser data can be cleared. This backup holds this page only: the guest list workspace and every other planner page (budget, checklist, day timeline) each have their own backup.
Can I compare photographers and venues at the same time?
One comparison holds one category, with its own criteria and weights. When you are done with one category, download it (backup or CSV), then start a new one for the next category. To go back to an earlier comparison, restore its backup. The budget can hold the lines of every category in one place.
