Plan the wedding day row by row with fixed or linked times, add tracks for the people and vendors involved, and print or export the full run sheet or one copy per vendor.

How to use it

  1. Add a row for each part of the day: what happens, when it starts, how long it takes in minutes and, if you want slack, a buffer after it.
  2. Give rows a fixed time (the ceremony at 4:00 PM) or link them after another row (drinks after the ceremony), so they move together.
  3. Add tracks to say who each row concerns: a vendor, a person or a place. Your own labels are offered again as you type.
  4. Read the computed times and fix any problems listed in text: rows that wait for each other in a loop, or a link to a removed row. Same-track overlaps are listed as warnings.
  5. Choose the full run sheet or one track, then download the PDF, print it, or download a CSV for a spreadsheet.

Worked example

The ceremony is fixed at 4:00 PM, lasts 45 minutes and has a 15-minute buffer after it.

  • Drinks reception, linked after the ceremony, 60 minutes: 4:00 PM + 45 + 15 = 5:00 PM to 6:00 PM.
  • Family photos, also linked after the ceremony, 30 minutes: 5:00 PM to 5:30 PM. They are on the “Photographer” and “Couple” tracks and the drinks are on “Venue” and “Catering”, so running in parallel is fine.
  • Dinner, linked after the drinks, 120 minutes with a 10-minute buffer: 6:00 PM to 8:00 PM.
  • Dancing, linked after dinner, 240 minutes: 8:00 PM + 10 = 8:10 PM to 12:10 AM (+1 day).
  • A late snack fixed at 11:30 PM for 30 minutes ends at 12:00 AM (+1 day).

The ceremony starts 30 minutes late. Shift it by 30 minutes: the ceremony runs 4:30 PM to 5:15 PM, the drinks 5:30 PM to 6:30 PM, the family photos 5:30 PM to 6:00 PM, dinner 6:30 PM to 8:30 PM and dancing 8:40 PM to 12:40 AM (+1 day). The late snack is fixed, so it stays at 11:30 PM.

Frequently asked questions

What happens to times after midnight?
They stay in order. A row that starts at 11:30 PM and lasts 90 minutes ends at 1:00 AM and is marked “+1 day”, and a row linked after it starts on the next day too. The run sheet sorts by the real time, so 1:30 AM (+1 day) comes after 11:00 PM, not at the top of the list.
What is the difference between a fixed time and “after another row”?
A fixed row starts at the time you type, for example a ceremony booked for 4:00 PM. A linked row starts when another row ends, plus that row’s buffer, plus any extra minutes you add (which may be negative to start a little earlier). When the first row moves, every row linked after it moves with it; fixed rows stay where they are.
We are running 30 minutes late. How do I update the plan?
Under “Running late or early?”, choose the row and how far to move it (5, 15 or 30 minutes earlier or later) and press Shift. The status line tells you which linked rows moved with it and how many fixed rows stayed. Shift again for a longer delay; Undo goes back one step.
Two things happen at the same time. Is that an error?
No. Give each row the tracks of the people or vendors involved, for example “Photographer” and “Couple”. Rows on different tracks may run in parallel without any message. Only when two rows that share a track overlap do you get a warning, so you can check it; it never blocks you.
How do I give each vendor only their part of the day?
Under “Run sheet and vendor copies”, choose “Track: …” for that vendor. The list, the PDF, the print and the CSV then hold only the rows with that track, in time order. A row with several tracks appears on each of their copies.
Are locations and notes printed?
Not unless you ask. Locations and notes are private by default: they appear on a PDF, print or CSV only when you check “Include locations” or “Include notes” for that copy.
Is my timeline saved?
Only if you check “Keep on this device”: then it is saved in this browser. Without it, closing the tab loses the timeline. Download a backup now and then, because browser data can be cleared. This backup holds this page only: the guest list workspace and every other planner page (budget, checklist, vendor comparison) each have their own backup.
